1. Who we are

Highland Systems is the trading name of Ewen Bradley, a sole trader based in Inverness, Scotland. For data-protection purposes, Ewen Bradley trading as Highland Systems is the controller of the personal information described in this notice.

2. Information we collect

We may collect:

  • your first and last name, email address, subject and message when you use our contact form;
  • your telephone number, business details and project requirements when you contact us or become a client;
  • correspondence, quotations, contracts, invoices and payment records;
  • information needed to design, test, operate or support an agreed automation or business system;
  • your marketing preference; and
  • technical and website-usage information collected through Squarespace and permitted cookies.

Please do not send confidential, special-category or unnecessary personal information through the website contact form.

3. How and why we use your information

We use personal information to:

  • respond to enquiries and prepare quotations, where necessary to take steps before entering a contract and for our legitimate interest in operating the business;
  • provide, manage and support contracted services;
  • maintain accounts, invoices and legal records, to meet legal obligations and protect our legitimate interests;
  • keep the website secure and understand how it is used, based on legitimate interests and, where required, cookie consent; and
  • send marketing messages only where you have consented. You can withdraw consent at any time.

4. Who receives your information

Website form submissions are processed through Squarespace and delivered to our Google Workspace/Gmail account. These providers process information on our behalf under their own security and data-protection arrangements. We may also disclose information to professional advisers, regulators or law-enforcement bodies where reasonably necessary or legally required.

We do not sell personal information.

5. International processing

Squarespace and Google may process information outside the United Kingdom. Where this happens, we rely on the safeguards used by those providers for international data transfers, such as recognised adequacy arrangements or approved contractual protections.

6. How long we keep information

We keep:

  • general enquiries that do not become client work for up to 12 months after the last meaningful contact;
  • client, project, contract and accounting records for up to 6 years after the relevant relationship or accounting period, unless a longer period is legally required;
  • marketing details until consent is withdrawn or the information is no longer needed; and
  • website and cookie information according to the relevant Squarespace settings and cookie duration.

We may keep information longer where required to establish, exercise or defend legal claims.

7. Security

We use reasonable organisational and technical measures to protect personal information. No internet or email system is completely secure, so please avoid sending highly sensitive information unless we have agreed a suitable method.

8. Your rights

Depending on the circumstances, you may have rights to access, correct or erase your information; restrict or object to its use; receive a portable copy; and withdraw consent. Some rights are subject to legal exceptions.
